The Role:
We’re hiring for a full-time position, starting with a 3-month trial to make sure it’s the right fit for both you and the team.

We’re looking for a friendly, organized, and self-sufficient Office & Client Coordinator to join our crew. This role is perfect for someone who enjoys keeping things running smoothly, works well independently, and can juggle multiple day-to-day tasks with ease.

Key Responsibilities:

  • Answer phone calls and respond to emails
  • Schedule estimates and coordinate with sales
  • Manage daily office duties and correspondence
  • Handle project schedules, invoices, and follow-ups
  • Assist with basic bookkeeping tasks
  • Organize client's project photos and scanning handwritten estimates
  • Data entry of customer calls and information

What We’re Looking For:

  • Hours: Monday to Friday, 8:00 AM – 5:00 PM
  • Once you are comfortable with our daily operations, we can arrange one remote (work-from-home) day each week as long as calls are answered, tasks are completed and company needs are met
  • Highly organized and detail-oriented
  • Comfortable working independently in a casual, easy-going environment
  • Proficient in MS Word, Excel, and online email services (Yahoo, Gmail, etc.)
  • Proficient with Google Sheets/Docs, Jobber, Dext, and comfortable using similar software on both desktop and smartphone apps.
  • Comfortable learning new apps or tools that help streamline estimates, sales coordination, and client communication.
  • Able to navigate online platforms and be tech-savvy as we migrate into more digital systems
  • Can navigate in QuickBooks if required for booking keeping role or data entry
  • Strong communication skills and a customer-focused attitude; history of administrative or office experience preferred.
